Here's some stuff helpful to the Journal Club organizers.

Sample Reminder Email

To be sent ~10 days before a person's speaking slot.

Dear NAME,

Thanks for signing up to give a 20-minute Journal Club talk on
MONTH DAY. Once you have a topic picked for your talk, please let
me and OTHER ORGANIZER know a few things when you get the chance:

- What work(s) will you be presenting?
- Do you expect to use PowerPoint (or similar) for your talk?
- What kinds of feedback would you like on your talk?
- Do you have any other goals for this talk that we can help you
  achieve?
  
If you'd like to provide your own abstract for your talk, feel
free to do so; otherwise we'll use the abstract from the work
you'll be discussing.

If the subject area of your talk is one with which you're not so
familiar, we can try find someone who can spend a little time
helping get you oriented. (Obviously, the sooner you let us know
this, the better.) We can also mention this when introducing you
to help set audience expectations appropriately.

Journal Club Man-Cron

  • Every Tuesday
    1. Send a reminder to the following week's speakers using something like the above template
    2. Bug the current week's speakers for an abstract if necessary
  • Every Thursday, send a notice about Friday's JC speaker/topic. (If undergrads don't show up for a couple of weeks, we should stop spamming then.) For ease of copy-paste, the addresses are: faculty@astro.berkeley.edu, research@astro.berkeley.edu, students@astro.berkeley.edu, postdocs@astro.berkeley.edu, astromajors@astro.berkeley.edu
  • Every Friday
    1. In the morning, make notes about the speakers' experience/feedback desires/etc for the intro
    2. In the morning, ask the speakers if they have any last-minute needs
    3. At ~11:30, send out another reminder email to the same set of lists.
    4. At noon, do Journal Club.
